Understanding the Dashboard and Navigation

A quick guide to the MotionOps top navigation bar and what each section of the Dashboard shows.

Overview

When you log into MotionOps, the first thing you see is the Dashboard — a high-level summary of your business performance. The top navigation bar gives you access to every section of the app, from scheduling your team to reviewing reports.

This article walks you through what each navigation icon does and what the Dashboard is showing you.


The Navigation Bar

The top bar runs across every page in MotionOps. Here's what each icon does, from left to right.

Main Sections

  • Dashboard — Your business overview. Revenue, invoices, jobs, proposals, and team hours at a glance. This is your home screen.

  • Accounts — Your full client and lead list. Add new accounts, view contact details, and see the history of work done for each customer.

  • Work Orders — Manage proposals and jobs. Create new proposals, convert them to jobs, and track the status of all active and completed work.

  • Schedule — A timeline view of your team's appointments and events. Use this to assign work, check availability, and manage the day-to-day field schedule.

  • Timesheets — A clocked-time overview for each team member. See who clocked in, how long they worked, and review or approve time entries.

  • Materials — Expenses logged by your field team during jobs, including parts and supplies purchased on-site.

  • Invoices — Create, send, and track invoices. View draft, pending, and collected invoice status across all your jobs.

  • Team Members — Manage your employees and field workers. Add users, set roles and permissions, and view team details.

  • Reports — Detailed financial and operational reports. Filter by date, job type, business unit, and more.

Right-Side Icons

  • Gift (Refer & Earn) — Your personal referral code. Share it with other contractors to earn rewards when they sign up for MotionOps.

  • Help Center — Opens the MotionOps knowledge base directly in the app.

  • Clock-In Widget — A quick-access clock-in and clock-out button for tracking your own work time without navigating to Timesheets.

  • Business Settings — Configure your business: team roles, job types, PriceBook, integrations, payment settings, and more.

  • Avatar (More Actions) — Click your initials or avatar to open a dropdown with additional options (see below).

Avatar Menu Options

Clicking your avatar in the top right opens a menu with the following options:

  • Signed in as — Shows the email address you're currently logged in with, and the active workspace name.

  • Switch Workspace — Switches to another MotionOps account you're logged into. See Switching Between Multiple MotionOps Accounts for details.

  • Personal Settings — Update your name, email, password, notification preferences, and other user-level settings.

  • Business Settings — Same as the gear icon in the nav bar. Configure your business-wide settings.

  • Billing — Manage your MotionOps subscription, plan, and payment method.

  • Refer & Earn — Access your referral code and track referral status.

  • Contact Support — Open a conversation with the MotionOps support team.

  • Help Center — Opens the knowledge base.

  • Log Out — Logs you out of the current account and removes it from the active session list.


The Dashboard

The Dashboard gives you a snapshot of your business performance for the selected time period. Use the Time Period and Granularity controls at the top right to adjust what's shown.

Total Revenue

Shows the money your business has brought in for the selected period, broken into three figures:

  • Collected — Payments actually received from customers.

  • Booked — Revenue tied to accepted proposals and active jobs, whether collected yet or not.

  • Average Job Size — The average value of a job over the selected period. A useful indicator of pricing trends.

Invoices

A breakdown of your invoices by status — Drafted and Pending — with a total count and dollar amount for each. The donut chart gives you a quick visual of how your invoice pipeline is distributed.

Total Logged Hours

Shows total labor hours tracked by your team, split between Approved and Pending time entries. Use this to stay on top of timesheet reviews.

Proposals

An overview of proposals by status: Accepted, Pending, Rejected, and Draft. The donut chart shows the proportion at a glance. Monitor this to track your close rate and how many jobs are still being estimated.

Work Orders

Shows the total number of active jobs, split between Open and Closed. A quick indicator of how much work is currently in progress.

New Accounts by Source

Breaks down new customers added during the selected period by their lead source. Use this to see where your new business is coming from — referrals, online, walk-ins, and so on.

Weekly Revenue Comparison

A line chart showing week-by-week revenue trends over the selected period. Useful for spotting seasonal patterns, slow weeks, or growth momentum at a glance.


Tips and Best Practices

  • Check the Dashboard at the start of each week. A quick review of collected vs. booked revenue and pending invoices helps you prioritize follow-ups before the week gets busy.

  • Use the Time Period filter to compare periods. Switch between last 7 days, last 30 days, or a custom range to understand whether your numbers are trending up or down.

  • Hit Refresh if numbers look stale. The Dashboard doesn't always auto-update — click Refresh to pull in the latest data.

  • Bookmark the Dashboard URL. It's the fastest way back to your business overview when you have multiple browser tabs open.


Things to Know

  • The Dashboard reflects data from your currently active workspace. If you manage multiple businesses, switch accounts to see each one's numbers separately.

  • Revenue figures on the Dashboard are based on invoices and payments within MotionOps. They won't reflect payments processed outside the platform.

  • Team members with restricted roles may see a limited version of the Dashboard based on their permissions.

  • Team members with specific roles may not see the entire navigation with all the options; it will be limited to the scope of their permission access level.
