How Syncing with QuickBooks Online works?

MotionOps integration with QuickBooks Online (QBO) streamlines your financial workflows by synchronizing key data between the two platforms.

Overview

QuickBooks Online is an accounting software that can be integrated with MotionOps. QuickBooks Online can be used to assist with accounting based on information from your connected MotionOps account.

In a few easy steps, you can connect your QuickBooks Online account with MotionOps and have an automatic data sync going forward.

Connect MotionOps to QuickBooks Online

Clicking on Connect with QuickBooks Online, you will initiate the process where you'll have to log in to your QuickBooks Online account and grant access to MotionOps.


Connect & Sync

The initial step is setting up your Chart of Accounts. If you're new to QuickBooks Online, check out this article: Learn about Chart of Accounts.

MotionOps requires you to select your Bank Deposit Account, most likely this will be either Checking or Cash account in QuickBooks Online. For more details, read this article we have prepared on the Chart of Accounts Setup.

You'll be able to modify these later on in your QuickBooks Sync Settings on MotionOps.

Set up Chart of Accounts Settings

After that, we proceed to import all your most important QuickBooks Online data to MotionOps, this includes:

  • Clients

  • Products & Services

  • Taxes

After connecting with QuickBooks Online you will have to manage your Taxes inside the QuickBooks platfrom.

In case there is conflicting data, you need to choose the primary source of information that will be used in conflict resolution. This can either be MotionOps or QuickBooks Online, depending on where you keep more accurate data.

MotionOps keeps a detailed Sync Log showing any synchronization conflicts and errors with detailed messages, enabling you to address issues promptly.

MotionOps also offers a way to send data to QuickBooks Online with the option Sync Historical Data to QuickBooks Online. This is optional, and it's a good way to send everything to your QBO account in case you haven't used it in parallel with MotionOps.
