Q1: How do I connect my MotionOps account with QuickBooks Online?

A1: Navigate to Business Settings, and select QuickBooks under Integrations in the left-hand side menu. You should see the screen in the photo below, and you can initiate the process by clicking on the Connect to QuickBooks button.


Q2: How do items sync between MotionOps and QuickBooks Online?

A2: In the initial sync after connecting and authorizing QuickBooks Online we import and map out all your QuickBooks Online Clients, Products & Services, and Taxes.

You will have to continue managing your Tax Rates inside QuickBooks Online, but going forward all newly created Accounts in MotionOps will sync to QuickBooks Clients, as well as PriceBook items to QuickBooks Products & Services.

Naturally, we map Material PriceBook items to Products (Non-Inventory Items), and Labor items are mapped to Services.

Q3: Should I make edits in MotionOps or QuickBooks Online?

A3: After you connect your MotionOps account to QuickBooks Online, we will make sure that all new items will auto-sync with your QuickBooks account. This is why we recommend using MotionOps in your day-to-day operations, and leaving QuickBooks for your accountant.

Of course, sometimes there will be a need to manage things in QuickBooks Online as well, but just have in mind that your changes are synced to MotionOps as well, or manually adjust them, to avoid duplicate data.


Q4: Does MotionOps sync with QuickBooks Desktop?

A4: MotionOps does not sync to QuickBooks Desktop. Our integration is only with QuickBooks Online.


Q5: How to access the Sync Log?

A5: Once connected with QuickBooks Online, a πŸ”„ sync icon will appear in the top navigation. A special badge will indicate existing errors and conflicts, and by clicking on the icon you will access the Sync Log.


Q6: Can I backdate the sync?

A6: In case you have been using MotionOps and wish to send the data to your QuickBooks Online account you are able to do so with our Historical Data Sync.

Q7: How to resolve errors and conflicts?

A7: In most cases, you will have a dedicated message in the Log details which will explain the problem and the proposed solution. For unforeseen cases, we have prepared a specialized article on Sync Log & Error Resolution Flow, where we're constantly updating potential issues and best practices.


Q8: What are the benefits of integrating MotionOps with QuickBooks Online?

A8: Having an integration between your MotionOps business account and QuickBooks Online handles the following:

  • Automates the transfer of financial data between the two systems

  • Eliminates duplicate data entry and reduces errors

  • Provides real-time financial insights across projects and clients

  • Enhances collaboration between operations and accounting teams


Q9: What kind of data can be synced between MotionOps and QuickBooks Online?

A9: MotionOps sends the following information to QuickBooks Online:

  • Accounts (Customers and Leads)

  • Invoices

  • Transactions

  • Product & Service Items from the PriceBook

Additionally, MotionOps can perform automatic deposit matching for customers using online payment processing which syncs your bank deposit with payments and invoices inside QuickBooks.

QuickBooks allows MotionOps to pull your chart of accounts details, so you can pre-select the correct account mapping inside the settings.

Taxes are also pulled from QuickBooks Online, and once the sync is turned on you will have to manage your tax groups inside QuickBooks.

All of these settings are configurable inside MotionOps.


Q10: Does the integration work in real time?

A10: Yes, everything syncs in real time, based on the settings you selected. You are able to see the information of the item sync on that specific item, in the tables, and inside the QuickBooks Sync Log.


Q11: Can I disconnect the integration if needed?

A11: Yes, you can disconnect the integration at any time from the MotionOps Business Settings > Integrations > QuickBooks. Your existing data will remain intact on both platforms.
