Overview
The Job Card Report lets you generate a detailed, printable summary of any work order from start to finish. You choose exactly what to include — proposals, timesheets, invoices, receipts, checklists, waivers, and more — then download or print the report as a PDF. The report is available on all work orders, regardless of status.
Use it to share a complete job summary with a customer, keep a record for your files, or hand off job details to your team.
When to Use This Feature
You've completed a job and want to send the customer a full summary of everything that was done, charged, and signed.
You need a printable record of a job for your own files — including labor hours, materials used, and payments collected.
You're handing off an active job to another technician or manager and want to share all job details in one document.
You want to review everything tied to a work order — proposals, change orders, checklists, and waivers — in a single view.
You need a PDF copy of the job record for insurance, warranty, or compliance purposes.
How to Generate a Job Card Report
You can generate a Job Card Report from any work order, regardless of its current status.
Open the work order you want to report on.
Click the More Actions menu on the work order overview.
Select Generate Job Card Report. The Job Card Configuration modal opens.
Toggle on or off each section you want to include in the report. All sections are turned on by default.
Click Save to generate the report preview.
Review the report. When ready, click Print & Download in the top-right corner to save or print the report as a PDF.
Click Exit Preview to return to the work order overview.
What the Report Includes
Every Job Card Report always includes the following sections on the first page, regardless of your toggle selections:
Financial Summary — Total Value, Collected Amount, and Balance Due.
Work Order Details — Title, reference number, description, sent/approved/completed dates, and assigned Account Manager, Project Manager, and Salesperson.
Customer Account Details — Customer name, phone, email, and billing address.
Service Location Details — Service address, location contact, and map.
Latest Approved Scope of Work — The approved proposal, always included.
If any of the above details don't exist on the work order, that field or section is automatically hidden from the report.
The following sections appear only when their corresponding toggle is turned on in the Job Card Configuration:
Proposal History & Change Orders — Change order history from the original proposal to the latest approved version.
Labor Timesheets — Hours logged by technicians on the job.
Material Receipts — Receipts for any material expenses, plus a Materials Used summary.
Invoices & Payments — Invoice and payment details for the job.
Service Agreement — The signed service agreement with customer signature.
Work Order Photos and Videos — Photos and videos attached to the work order.
Appointment Details — The list of appointments associated with the job.
Team Members List — Team members assigned to the work order.
Checklists — All completed checklists on the job.
Waivers — Any waivers signed by the customer. Each waiver appears on its own page.
Tips & Best Practices
Customize for your audience. Sending the report to a customer? Turn off internal sections like Labor Timesheets or Team Members List to keep it clean and relevant.
Use it as a job closeout document. For completed jobs, run the full report with all toggles on to capture every detail — useful for warranty records or dispute resolution.
Check the financial summary first. The Total Value, Collected, and Balance Due figures at the top are a quick way to confirm payment status before sharing with a customer.
Print to PDF for easy sharing. Use your browser's "Save as PDF" option when printing to create a file you can email directly to the customer or store in your records.
Things to Know
The Job Card Report is available on all work orders, regardless of status (Draft, Active, Completed, etc.).
All toggles in the Job Card Configuration are turned on by default each time you open the modal.
Sections for details that don't exist on the work order — such as a missing project manager or no service location — are automatically hidden from the report.
The Latest Approved Scope of Work always appears in the report and cannot be toggled off.
Each waiver appears on its own dedicated page, in consecutive order.
The report is generated and printed directly from your browser — no file is stored or saved within MotionOps.
This feature is available on the Web App only.
Troubleshooting
I don't see "Generate Job Card Report" in the More Actions menu.
Confirm you are on the work order overview page. If the option is still missing, contact support — your account may need a permission update.
A section I toggled on isn't showing in the report.
If the relevant data doesn't exist on the work order (e.g., no checklists completed, no waivers signed), that section is automatically hidden even when the toggle is on. Add the data to the work order and regenerate the report.
The Print & Download isn't producing a PDF.
Use your browser's print dialog and select Save as PDF as the destination. If the print dialog doesn't open, check that your browser isn't blocking pop-ups from MotionOps.
The report is missing the customer's billing address or service location.
These sections only appear if the data exists on the work order. Return to the work order, confirm the customer account and service location are filled in, and regenerate the report.
