Overview
Job photos and videos tell the story of the work - but a long gallery is hard to sort through. Now you can add tags and notes to any photo or video right from the MotionOps mobile app, so important shots are easy to label and explain.
Quick Start
Open a work order, go to its photos & videos section, and tap a photo or video to open the preview. From there, you can assign tags, remove tags, and add or read notes and descriptions - all in one place.
When to Use This Feature
You want to label a photo so it's easy to find later β for example, tagging a shot of a leaking valve or a finished panel.
You need to explain what a photo shows, like noting pre-existing damage before you start a job.
You're documenting a job in the field and want context attached to the media while it's fresh.
Someone back at the office needs to understand a photo without calling you to ask about it.
How It Works
Each photo and video can carry multiple kinds of information:
Tags - short, reusable labels you assign to a photo or video. You can assign more than one tag to the same media.
Notes - a written description attached to a specific photo or video. Each item can have multiple notes from different team members.
Description - a one line simple description of a photo or a video.
Category - each photo or video belongs in one of 3 categories: before, progress, or after. To learn about categories, see Before, Progress, and After Photos.
Drawing (annotation) - available for photos only, allows you to draw directly on the photo, add measurements, and any sections you want to highlight.
A photo or video shows a tag indicator once it has at least one tag, and a note indicator once it has at least one note - so you can spot labeled media at a glance.
How to Add or Remove Tags on a Photo or Video
Tags use your existing tag list. If the tag you want doesn't exist yet, create it first β see Tags.
Open the work order and go to its photos.
Tap a photo or video to open the preview.
Open the tag option and choose one or more tags from your existing list to assign them.
To remove a tag, take it off the same way. The assigned tags update on the photo or video right away.
Once a photo or video has at least one tag, the assigned tags are shown with it.
How to Add and View Notes on a Photo or Video
Tap a photo or video to open the preview.
Open the note option and type your note.
Notes can be up to 255 characters.Save. The photo or video now shows a note indicator so you know a note exists.
To read a note later, open the photo or video preview again. Any notes appear there alongside the media.
Tips & Best Practices
Keep a small set of clear tags. A short, consistent tag list (e.g., "Damage," "Warranty," "Customer Approved") is easier to use in the field than dozens of one-off labels.
Note what the photo can't show. Use notes for context a picture misses β like "pre-existing crack, not caused by our crew."
Tag and note while you're on site. Adding context right after you take the shot is faster and more accurate than trying to remember later.
Watch the 255-character limit. Notes are meant to be short. If you need more detail, keep it to the key facts.
Things to Know
Tags and notes are available on both the web app and the mobile app, and they stay in sync.
You assign tags from your existing tag list. To create or manage tags, go to your tag settings β see Tags.
You can assign more than one tag to a single photo or video.
Notes have a 255-character limit and are optional.
Tag and note indicators only appear once a photo or video has at least one tag or note.
In the gallery, photos and videos are grouped by upload date and load as you scroll.
Troubleshooting
I can't find the tag I want to assign.
Tags are assigned from your existing list. If it's not there, create it first in your tag settings, then come back and assign it.
My note won't accept all the text.
Notes are limited to 255 characters. Shorten the note to the key details and save again.
I don't see any tags or notes on a photo.
The indicators only show when a photo or video has at least one tag or note. Open the preview to add the first one.
Not all photos appear right away.
The gallery loads media as you scroll. Keep scrolling and older photos will continue to load.
