Service Locations

Keep every address you service on one account - with its own name, job-site note, and assigned contacts - and start proposals straight from a location.

Overview

A service location is an address where you do the work. Every account can have as many as it needs - one for a homeowner, dozens for a property management company.

Each location holds its own address, an optional name, a note for job-site details, and the contacts your team should reach for work at that address.

Available in the Web App and the Mobile App.


When to Use This Feature

  • A property manager owns several buildings and you need each address on the same account.

  • A customer's billing address is their office but the work happens at a different property.

  • You service both a homeowner's house and their rental down the street.

  • A commercial customer has units or suites that need telling apart — "Building C - Rooftop Units" is clearer than an address alone.

  • Your techs need to know something about the site before they arrive, like gate codes, dog on the property, or where the panel is.

  • Different people should be contacted depending on which property the job is at.


How It Works

Service locations sit on the account. Open any account and you'll find a Service Locations table listing every address on file, along with each location's note.

When you create a proposal or work order, you pick which service location the job is for. That address then flows through to the appointment, the documents your customer sees, and your team's schedule.

A service address is separate from a billing address. The billing address is where the invoice goes; the service location is where the work happens. They're often different, especially with commercial customers.


How to Add a Service Location

  1. Open the account and go to the Service Locations table.

  2. Add a new service location.

  3. Start typing the address. Google autocomplete suggests matches as you type - pick the right one and the fields fill in.

  4. Add the apartment, suite, or unit number if there is one.

  5. Give the location a name if it helps you tell it apart from others on the account.

  6. Add a Location Note with anything your team needs to know before arriving.

  7. Choose the contacts for this location. The Use all account contacts toggle is on by default, which assigns every contact on the account. Turn it off to pick specific people instead.

  8. Save the location - or use Save and Create Proposal to save it and go straight to a new proposal with this account and location already selected.

The location appears in the table right away and is available to pick on any new proposal or work order.


When Autocomplete Can't Find the Address

New construction, rural properties, and recently changed addresses often don't come back from Google. When that happens, switch to manual entry by clicking Use this '..."

Manual entry works on both the Web App and the Mobile App.


Adding a New Contact While You're Here

If the person you need to assign isn't on the account yet, you don't have to leave the window.

In the contact selector, choose Create New Contact. A window opens to add their details. When you save, it closes and the new contact is already selected for this location.

Showing the Location Name to Your Customer

By default, customers see only the address on their proposals, invoices, and change orders - not the name you gave the location.

You can change that per location. There's a setting in the create and edit window that displays the location name above the address on customer-facing documents.

This is worth turning on for commercial customers who think in building names rather than street numbers. It's off for all existing locations until you enable it.

The setting is also available on the Mobile App.


Previewing and Editing a Location

Click a service location in the table to open its preview, or choose Preview from the location's actions menu. The preview shows the address, the location note, and the contacts assigned to it.

To make changes, edit the location from the same actions menu.

One thing to expect when editing: rather than showing the Use all account contacts toggle switched on, the window lists the contacts that are actually selected. That's deliberate - it tells you exactly who's assigned instead of making you work it out.


Starting Work from a Service Location

You can start a proposal directly from a location instead of going to the proposal page and picking the address there.

Two ways to do it:

  • Choose Create Proposal from the location's actions menu in the Service Locations table.

  • Use Save and Create Proposal when you're creating the location in the first place.

Either way, the new proposal opens with the account and service location already filled in.

Creating a proposal this way requires the relevant permission. If you don't see the option, check your role with an admin.


Service Locations on the Mobile App

Your field team can add and edit service locations from their phone, which matters when they arrive and discover the work is at the building next door.

Mobile covers:

  • Adding a service location with Google autocomplete, or manual entry when autocomplete comes up empty.

  • Editing an existing location.

  • Viewing a location preview with its note and assigned contacts.

  • Tapping a contact on the location to call them. If the contact has two numbers, you're asked which one to use.

  • Setting whether the location name shows on customer documents.

The location note and contacts blocks only appear when there's something to show. An empty location won't display blank sections.


Other Places You'll Add a Service Location

You don't have to go to the account first. A service location can also be created from:

  • The work order page, when the job turns out to be at a new address.

  • The new proposal page, while you're building the quote.

  • An invoice without a work order, where you can add a service address separately from the billing address.


Tips & Best Practices

  • Name locations the way your customer refers to them. "Building C — Rooftop Units" beats "1247 Industrial Pkwy" when a property manager calls about a specific site. Use the Location Name section for this.

  • Put gate codes and access details in the Location Note. It's the one field your tech reads before arriving, and it saves the "I can't get in" phone call.

  • Narrow the contacts on commercial accounts. A property manager with twelve buildings shouldn't have every site manager notified about every job. Turn off Use all account contacts and assign the right person per location.

  • Use Save and Create Proposal when you're quoting on the spot. It removes two steps when a customer calls about a new property.

  • Turn on the location name for multi-site customers. Seeing "Warehouse 2" on their invoice tells them which property they're paying for without checking the address.


Things to Know

  • An account can have any number of service locations.

  • The service address and the billing address are separate. Changing one doesn't change the other.

  • Use all account contacts is on by default when adding a new location. It's a shortcut, not a permanent link - it assigns the contacts that exist at that moment.

  • The location name is hidden from customer documents unless you turn that setting on. Existing locations all start with it off.

  • Creating a proposal from a service location is permission-gated.

  • Service locations can be searched, which helps on accounts with a long list.

  • Location notes are internal. Your customer doesn't see them.


Troubleshooting

Google can't find the address I need.
Switch to manual entry and type the fields yourself. This is common with new construction and rural addresses, and works on both web and mobile.

My tech says the contacts on the location are wrong.
Edit the location and check which contacts are selected. If Use all account contacts was on when the location was created, everyone on the account was assigned — turn it off and pick the right people.

The customer's invoice shows the address but not the location name.
That setting is off by default. Edit the service location and enable the option to display the name on customer documents.

I don't see Create Proposal in the location's actions menu.
Your role doesn't have permission for it. Ask an admin to review your permissions. See Standard User Roles.

I added a contact to the account but it's not on the service location.
Contacts aren't added to existing locations automatically. Edit the location and select the new contact.
