Overview
The Unscheduled Jobs panel is a drawer on your Schedule that lists every approved job waiting to be put on the calendar. Drag one onto the schedule and the appointment is created with the details already filled in.
It replaces the routine of switching to the Work Orders list, finding what hasn't been booked, and coming back to the schedule to place it.
Available in the Web App.
When to Use This Feature
You approved several proposals this week and need to get the resulting jobs booked.
You're doing your Monday morning dispatch and want to fill gaps in the week.
A crew finishes early and you want to pull forward something that's been waiting.
You want to confirm nothing has been approved and then forgotten.
You run multiple divisions and need to see only the unscheduled HVAC work, not everything.
How It Works
The panel sits alongside your Schedule as a drawer. Each entry shows the job title and the address, and a count badge tells you how many jobs are waiting.
By default the panel shows jobs that have never been scheduled - work that has never had an appointment placed on the calendar. Jobs that were scheduled at some point in the past are left out, which keeps the list focused on what genuinely needs booking.
Cancelled and closed jobs never appear. When there's nothing waiting, the drawer shows an empty state.
The panel updates as you work - schedule a job and it leaves the list.
How to Schedule a Job by Dragging
Open the Schedule and show the Unscheduled Jobs drawer.
Find the job you want to book. Use the search bar or filters at the top of the drawer if the list is long.
Drag the job from the drawer onto the schedule, dropping it on the day, time, and team member you want.
The New Work Appointment window opens with the account, work order, start date, start time, and team member already filled in from where you dropped it. The end time defaults to four hours after the start.
Adjust the end time and any other details, then save.
The appointment appears on the schedule and the job drops out of the Unscheduled drawer.
Scheduling Without Dragging
You don't have to drag. Click a job in the drawer to open its detail, then assign a date and time from there.
This is often easier for jobs that need a specific start time rather than an approximate slot.
Filtering the Drawer
The filter control sits next to the search bar and opens its own window.
You can filter by:
Account
Service area
Tag
Business unit
Job type
Project manager
Account manager
Once filters are applied, a badge on the filter icon shows how many are active. No badge means no filters are on - so you can always tell at a glance whether you're looking at the full list.
Using the Drawer in Full Screen
The Unscheduled Jobs drawer is available on the full screen Schedule as well, so you can dispatch a whole week without losing the list.
The Unscheduled Jobs Report
If you'd rather review unscheduled work as a list you can export, there's a dedicated Unscheduled Jobs report with the same set of filters.
The drawer is for booking work. The report is for reviewing and sharing it.
Tips & Best Practices
Work the drawer down to zero each week. Treating it as a queue rather than a list means nothing approved sits unbooked.
Filter by service area before you dispatch. Booking all the jobs in one area together cuts your crew's drive time.
Check the four-hour default. The end time is a starting point, not an estimate of the job. Adjust it before saving or your schedule will show the wrong capacity.
Filter by business unit if you run divisions. An HVAC dispatcher shouldn't be scrolling past electrical work.
Use the count badge as your morning check. A number that keeps climbing means jobs are being approved faster than they're being booked.
Things to Know
By default the drawer shows only jobs that have never been scheduled. Work that was scheduled previously and now has nothing upcoming is filtered out.
Cancelled and closed jobs never appear in the drawer.
Dropping a job on the schedule pre-fills the appointment but doesn't create it — you still confirm and save.
The end time always defaults to four hours after the start, regardless of the job.
The team member is taken from the row you drop onto, so dropping on the wrong row assigns the wrong person.
The drawer is available on both the standard and full screen Schedule.
This is a Web App feature.
Troubleshooting
A job I know isn't scheduled isn't showing in the drawer.
The drawer defaults to jobs that have never been scheduled. If that job had an appointment at some point — even one that's now in the past or was removed — it won't appear. Use the Unscheduled Jobs report to see the wider set.
The drawer is empty but I expected jobs in it.
Check whether filters are active — look for the count badge on the filter icon. Clear the filters and the full list returns.
The appointment was created for the wrong team member.
The team member comes from the row you dropped the job onto. Edit the appointment to reassign it.
Every appointment I create this way is four hours long.
That's the default end time. Change it in the New Work Appointment window before saving.
The drawer didn't update after I scheduled something.
Use the refresh control on the Schedule, which refreshes the drawer along with the calendar.
