Signing In, Resetting Your Password, and Account Security

Signing in on web and mobile, resetting a password, removing access when someone leaves, and the device controls available.

Overview

This article covers getting into your MotionOps account, what to do when you cannot, and the settings that keep your business data safe when a team member's phone goes missing.

It applies to both the Web App and the Mobile App.


Signing In

Sign in to your MotionOps account on https://app.motionops.com for the Back Office, or on your mobile device on the Mobile App directly: iOS | Android

Field technicians sign in to the Mobile App with the same credentials. What they can see once they are in depends on the role assigned to them. See Roles and Permissions.

Resetting Your Password

  1. Go to the login page.

  2. Click on Forgot password.

  3. Follow the link sent to your email.

  4. Enter a new password.

  5. Go back to the login page and use your email and new password to access the app.

As an admin, you also have an option to reset a specific team member's password.


When a Team Member Leaves

Removing access is the security step most businesses forget. A former technician with a working login can still see your customer list and pricing.

You can deactivate users and keep their history, or delete them entirely.

Mobile Device Controls

Two settings under Business Settings then Business Configuration then Time and Payroll affect what a technician must do on their device:

  • Enforce Biometric Verification - requires fingerprint or facial recognition before a technician can start time recording on the Mobile App. This protects your timesheet data from buddy punching. It is not a login control.

  • Enforce GPS Tracking for Mobile App Users - requires technicians to grant location permissions in order to use the Mobile App.


Tips & Best Practices

  • Give every person their own login. Shared accounts make timesheets, job history, and audit trails meaningless, and you cannot remove one person's access without locking everyone out.

  • Remove access the day someone leaves, not at the end of the month.

  • Limit who has admin rights. Admins can see and change everything, including pricing, payroll, and payment settings.

  • Use Limited User roles for field staff. Most technicians need their schedule, their jobs, and time tracking - not your customer list or margins. See Limited User Roles.

  • Keep the email on each user record current. It is how password resets reach them.


Things to Know

  • What you can see and do in MotionOps is controlled by your role, not by your password. Two people can share the same login screen and see completely different accounts.

  • Biometric verification on mobile applies to time recording, not to signing in.

  • Only admins can access Business Settings.


Troubleshooting

I never received the password reset email.
Check your spam folder first, then confirm the email address on your user record is correct.

My technician can't see the jobs I assigned them.
This is a role issue, not a login issue. Check which role they have and what it grants. See Roles and Permissions.

I'm signed in but I'm in the wrong business.
If you have access to more than one MotionOps business, switch between them without logging out. See Switching Between Multiple MotionOps Business Workspaces.

The Mobile App keeps asking for location permission.
Your business has GPS tracking enforced for mobile users. The app requires location access to run. Ask your admin if you believe this is set in error.
