Marking an Account as Do Not Service

Flag customers and leads you no longer want to take new work from. Your team sees a Do Not Service tag and a warning before new work. Customers never see it.

Quick Start

Do Not Service flags an account so your team knows not to take new work from it. The flag is internal - your customer never sees it.

  1. In the Web App, open the account and click More Actions.

  2. Set the service status to Do Not Service and add a reason for your team.

  3. Confirm. A red Do Not Service tag now shows everywhere the account appears.


Overview

Do Not Service lets you flag customers and leads your business no longer wants to take new work from - for example, accounts with unpaid invoices, disputes, or repeated no-shows.

Once an account is flagged, your whole team sees a red Do Not Service tag wherever that account appears. Anyone starting new work for it gets a warning first.

You set the service status in the Web App. The Mobile App shows the tag and the warning, so your field team is in the loop too.


When to Use This Feature

  • A customer has unpaid invoices and you don't want to book more work until they settle up.

  • A customer disputed a finished job and you've decided not to work with them again.

  • A lead keeps canceling or isn't home for scheduled visits.

  • Someone keeps calling about work your business doesn't do.

  • You want your office staff and technicians to know at a glance who not to book, without relying on someone remembering.


How It Works

Every account has a service status: Serviceable or Do Not Service. All accounts start as Serviceable.

Do Not Service is a warning, not a lock. When an account is flagged:

  • Your team sees it - a red Do Not Service tag appears on the account, in the accounts list, in search results, and on the account's proposals, work orders, invoices, and appointments.

  • New work triggers a warning - creating a new proposal, invoice, credit memo, or change order shows a warning first. You can cancel or continue.

  • The Customer Portal turns off - the customer can't open their portal while the account is flagged.

Existing work isn't touched. Open work orders, scheduled appointments, invoices, and payments stay exactly as they are, so you can finish the job and get paid.


How to Mark an Account as Do Not Service - Web App

  1. Open the account you want to flag.

  2. Click More Actions and choose the service status option.

  3. Select Mark as Do Not Service.

  4. Add a reason, such as "Invoice #1042 unpaid 90+ days." This is optional and only your team sees it.

  5. Click the confirm button.

The red Do Not Service tag now shows on the account.


How to Make an Account Serviceable Again - Web App

  1. Open the flagged account.

  2. Click More Actions and choose the service status option, or edit the account.

  3. Select Serviceable and confirm.

The tag and warnings disappear right away. The Customer Portal comes back with the settings it had before. The reason you entered is cleared.


How to Find Do Not Service Accounts - Web App

  1. Go to your accounts list.

  2. Edit the visible columns and turn on Service Status.

  3. Filter by service status to see only Do Not Service or only Serviceable accounts.

  4. Save the filter as a preset to reuse it. See Using Search, Quick Filters, and Presets.


Creating New Work for a Flagged Account - Web App

You can still create new work for a Do Not Service account. MotionOps just checks with you first.

  1. Start a new proposal, invoice, credit memo, or change order for the account - for example, click Create Proposal on the account page.

  2. Read the Do Not Service warning.

  3. Click Create Proposal Anyway to continue, or Cancel to go back without creating anything. For other record types, the button names the record, such as Create Invoice Anyway.


Do Not Service in the Mobile App

In the Mobile App, Do Not Service is view-only. To change an account's status, use the Web App.

  • The red Do Not Service tag shows on the account, in the accounts list, in search results, and on the account's jobs, proposals, and appointments.

  • Before creating a new proposal, invoice, or change order for a flagged account, you see a warning with the reason your office entered. You can cancel or continue.

  • Technicians can still finish existing jobs for a flagged account, including logging time, adding materials, and collecting payment.


Tips & Best Practices

  • Always add a reason. "Bounced check, March 2026" tells the next dispatcher more than the tag alone, and saves a call to the office.

  • Close out open work first. Flagging doesn't stop existing jobs or invoices, so finish the work and collect what you're owed as usual.

  • Save a Do Not Service filter preset. Review the list monthly and switch back accounts that have paid up or earned another chance.

  • Add the Service Status column to your accounts list. Your office sees the status before opening an account or picking up the phone.

  • Treat the warning as a pause, not a pass. If you continue past it, make sure the account owner or manager agrees.


Things to Know

  • Do Not Service is internal only. It never appears in the Customer Portal, customer emails, or on proposals, invoices, credit memos, or change orders - including their preview pages.

  • The Customer Portal is turned off for a flagged account, and portal links can't be sent or regenerated. Switching back to Serviceable restores the portal with its previous settings. See Customer Portal.

  • The status applies to the whole account, including all of its service locations.

  • Flagging warns but never blocks. Nothing existing is canceled or changed.

  • You need permission to edit accounts to change the service status. Without it, you can see the status but not change it.

  • Team members with limited account access see the tag but not the reason.

  • The service status can only be changed in the Web App.


Troubleshooting

I can't change an account's service status.
You need permission to edit accounts. Ask a Business Admin to check your role. If you're in the Mobile App, switch to the Web App.

I see "The customer portal is disabled for this account."
The account is marked Do Not Service, so portal links can't be sent. Switch it back to Serviceable if you want the customer to have portal access.

My customer says their portal link stopped working.
Check whether the account is marked Do Not Service. While it is, the portal is off.

A teammate sees the tag but not the reason.
Their role has limited account access, which shows the status only. A user with full account access can share the reason.

I didn't get a warning when creating a credit memo.
Credit memos created from an invoice preview don't show the warning. Starting one from the account page does.
