Overview
Invoicing through MotionOps is essential for maintaining a streamlined financial process, ensuring accurate billing, and keeping a comprehensive paper trail for every job.
By managing Invoices within MotionOps, you can seamlessly connect Work Orders and customer Accounts, resulting in a more organized and efficient billing process.
This approach not only helps in tracking payments but also improves communication with customers by providing clear, detailed Invoices.
Creating an invoice:
Pre-requisites: Ensure you have a customer Account created and an approved Work Order before generating an Invoice. This helps maintain a complete paper trail for the job.
Create the Invoice:
Navigate to the Invoices section, located in the top middle of the screen, two icons from the left.
Click the white "+ New Invoice" button on the top right.
Select the appropriate Account and Work Order, then hit Save.
Choose the Starter Invoice Template to determine how you want to calculate the charges. Click Generate on the bottom right.
Invoice Details:
On the Invoice detail screen, use the black "Select from Work Order" button to attach photos from the Work Order or the white "Upload" button to add your own photos from your device.
Scroll down to verify that line items and the main total are correct, then press "Save & Preview".
In the preview page, adjust the visibility settings as needed by using the "Preview Settings" button if necessary.
Once satisfied with the Invoice appearance, press Save. You can then either email the Invoice to the customer for payment or enter the card or ACH details yourself if you have set up payment processing with MotionOps.
Record Payment:
To record payment, select "Record Payment" and choose whether it’s an offline charge or if you are processing the payment information through MotionOps.
Alternatively, you can create an invoice directly from a work order:
Open the work order from the Work Order section.
Click the "Invoices" button at the top, then select "+ Generate Invoice" and proceed as described above.
Using MotionOps for invoicing helps you stay organized, ensures accuracy in billing, and provides a clear, professional experience for your customers.
