How to create a Proposal on the MotionOps Mobile App

Overview

Your workflow may require sending a proposal to your customer before starting the job. A proposal outlines the specific products and services included for that job. If you need to create one while on-site, the MotionOps Mobile App lets you build it quickly.


Proposal Types

In MotionOps, there are a few types of proposals that you can use depending on your workflows and needs:

  • Fixed - useful when full service prices are agreed upon upfront

  • Hourly - useful when you're agreeing on the price per hour, but bill based on the hours when the job is done

  • Blended - allows you to blend in the price of labor and materials into a single item

Additionally, for Fixed and Hourly Proposal Types, you can add optional Material items under the Fixed Materials section, or set the Cost Plus materials.

Cost Plus materials allow you the flexibility to bill out material purchases during the job with a built-in margin. Use this type when you need more flexibility, and don't know in advance how many materials are needed for the job, and of course, make sure to agree on the margin with the customer upfront to avoid future disputes.


Create a Proposal

In the MotionOps Mobile App, you're able to create new proposals from:

  • the Work page, by clicking on the + icon in the top right corner

  • the Account details page, by selecting the Proposals tab on the Account page, and then clicking on the + icon in the top right corner

Clicking on the + icon will open up the Create Proposal page.

Each Proposal must have:

  • an Account - the customer you're doing the work for,

  • the Service Location - the property where the job will take place,

  • and at least one Labor (Service) or Material (Product) line item.

You're able to set an agreement template in case you're using digital contracts in your workflow by clicking on the Agreement button.

When you add Labor & Services or Material items, your available PriceBook entries are automatically pulled in, letting you insert pre-filled items quickly.

You can also add brand new items in case they're missing from your PriceBook, right there on the spot.

When you're finished with adding the line items you need for the job, at the bottom of the page, you'll see your Proposal Summary. This is where you see the Subtotal and Total price of the job, and you can adjust the Tax rate, Discount, and Customer note.

Clicking on Save and Preview will save the changes you've made and open up the Proposal preview page. This is where you can click to send the proposal to your customer or collect their signature on site.

You can always come back and make edits to the Proposal before collecting the customer's signature. After that, the Proposal will be converted to a Work Order, and you'll be able to make changes via Change Orders.
