Overview
Our scheduling feature is designed to streamline the management of individual employees and entire teams with ease.
By using quick filters, you can efficiently sort schedules by service area, skills and grades, teams, or specific employees, ensuring you find the right person for the job quickly. This flexibility not only optimizes scheduling but also helps in managing workload and availability more effectively. You can also schedule recurring events here for meetings or specific items that happen weekly.
Get started with Scheduling
Access Filters: Click the white "Expand" button with an arrow pointing down on the top right to reveal filters. Use these filters to locate specific employees or groups quickly.
Schedule an Event: To schedule, click and hold anywhere on the schedule, drag left or right, and release the mouse. Alternatively, double-click anywhere on the schedule to bring up the event options.
Types of Events:
Work Order: Schedule work orders or jobs by selecting the customer, specific work order, and filling out the required details. You can save as a draft, which will not notify the employee or customer, or "Save and Publish" to notify both parties of the scheduled work order (assuming notifications are set up).
General Event: Use this option for non-work order events that still need to be tracked, such as meetings or training sessions.
Day Off: Schedule days off, and MotionOps will automatically block those days on the calendar. No new schedules can be created for those days unless the days off are withdrawn.
On Site Visit: This is used to schedule an on site visit or walkthrough with the customer in person to go over the job details, gather information, and either create a proposal on the spot, create one later, or help move toward selling the job.
Recurring Events: Use this feature to schedule regular company activities, such as weekly team meetings, daily check-ins, or ongoing tasks for office staff and sales managers. These events ensure consistency and keep your team on track.By utilizing our scheduling feature, you can enhance your operational efficiency, save time, and ensure optimal management of your team's schedule.
Schedule Colors
MotionOps allows users to organize scheduled appointments using custom colors and schedule tags.
To configure schedule colors:
Go to Business Settings
Open Workflow Settings
Select Schedule
From there, users can:
Set default colors for appointments
Create custom schedule tags
Assign colors to schedule tags for easier calendar organization
Assigning Colors to Scheduled Appointments
On every scheduled work order appointment, there is a Color selection box inside the scheduling pop up.
When creating or editing an appointment:
Open the scheduling pop up
Locate the Color field
Select the color you want assigned to the appointment
Save the appointment
This helps teams quickly identify different appointment types, departments, priorities, or technicians directly from the calendar view.
