Work Orders

Work order tab is where you can keep track of all of your work orders, see the status, and mark them all as closed when completed.

Overview

Work orders are essential tools for efficiently managing and tracking jobs within a company. They provide a centralized system where every detail of a project—from initial Proposals to final Invoices—is organized and easily accessible.

By allowing teams to monitor job status, schedule appointments, and log time spent on tasks, keep track of all photos, Work Orders help streamline workflow and ensure that nothing falls through the cracks.

This organized approach not only enhances communication between office and field staff but also optimizes the overall process, leading to better project outcomes and improved customer satisfaction.


Navigating Work Orders

  • Accessing Work Orders:

    1. On the top menu of the MotionOps app, select the Work Orders tab.

    2. This screen will display a list of all your company's Work Orders, showing their current status.

    3. You can click on any individual work order to see detailed information about that specific job.

  • Accessing Work Orders via Accounts:

    • Work orders can also be located through the Accounts tab. By selecting a specific account or customer, you can view the associated work orders.


Creating a Work Order

  1. On the top right of the Work Orders screen, click the white + New Work Order button to create a new Work Order.

Searching or Filtering Work Orders

  • Below the work order creation button, click on the Expand option to reveal different search and filter options.

  • Use these tools to find specific work orders quickly.

Viewing Work Order Details

When you click on a work order, you'll be taken to the details page for that job.

Work Order Overview

  1. The initial page provides a quick overview of the project, showing signed documents, PDF attachments, invoicing details, and photos.

  2. At the top of this page, you'll find several tabs for different aspects of the work order:

    • Overview: A summary of the project details.

    • Proposal: View the accepted proposal and use the + Change Order button on the right-hand side to create or approve change orders. The history of change orders and the original proposal are also available here.

    • Schedule: See all scheduled appointments for the work order, including who they were scheduled with. You can also schedule new appointments here.

    • Timesheets: Track all logged timesheets associated with the work order.

    • Invoices: Manage and create invoices, keeping track of outstanding amounts and unpaid invoices for the work order.

    • Notes: Add and view notes related to the work order. This section can be used for communication between field staff and office staff.


Closing a Work Order

  1. To close a Work Order, first, pull up the Work Order details.

  2. In the top right corner, select the More Options button (a white button).

  3. From the dropdown menu, select Close Work Order.
