Overview
In MotionOps, Change Orders are a crucial feature that allows you to manage and document any adjustments to the original scope of work in a project.
This tool lets you create and approve changes seamlessly, ensuring that all modifications are tracked and agreed upon by both parties. By keeping a clear record of these changes, you maintain transparency with your clients and ensure that everyone is aligned on project expectations, which helps avoid misunderstandings and keeps the job on track.
Get started
On the web app you can create, manage, and edit Change Orders anytime. There are multiples ways to create a Change Order.
The easiest way is to:
Click on Work Orders on the top to bring up the page with all of the Work Orders.
Find and select the Work Order that you would like to do a Change Order for.
On the top, you will see Proposal, Schedule, Timesheets, etc. You will want to select Proposal.
This screen will show you the latest Proposal. On the right hand side, you will see a history of all the Change Orders done on the Proposal (if any).
To create a new one, select the "+ Change Order" on the right hand side.
On this page, you will add a title to the Change Order (what you are adding to the work or taking away from the initial estimate). Include a Change Description.
On the right hand side, you can add photos to include in the Change Order form to send out to your customer.
Once you have completed that, you will scroll down. You can either edit the current line items, or add new items to the Change Order to add to the Work Order.
Once you have everything entered into the Change Order that you wanted, you can press the "Save" or "Save & Preview" that is on the bottom right of the screen. Save & Preview allows you to send it to your customer to get a signature from them for the change order.
When you press save and preview, similar to the Proposal preview screen, you will be able to pick and choose what is or isn't visible to your customer. On the top, you can press send to email it to your customer for approval, or approve it yourself up top.
When you go to create an Invoice now, it will automatically include the Change Order information.
Another way that you can create a change order is:
Click on the Invoices tab on the top of the screen.
Select the Invoice, or create a new Invoice for the job you want to create a Change Order for.
On the Invoice creation page, you will see under your line items, a button that says "+ Change Order". Select this.
Scroll up to step 5 above and follow the directions for the rest of the process.
